Onboard your Organization

Wavelength Onboarding takes a week from when Wavelength receives your data to when users are onboarded. This guide takes you through the onboarding process step by step. There are six basic steps:

  • Pre-onboarding
  • Set Up: Data Transfer
  • Set Up: Bank Integration
  • Set Up: Email Integration
  • Admin Testing
  • User Onboarding

Pre-Onboarding

During pre-onboarding, you finalize your relationship with Wavelength, including onboarding expectations, organization data requirements, onboarding timeline, and price. Pre-onboarding will typically involve an email exchange with an optional 15 minute phone call.

For some of Wavelength’s customers, we require a contract. If your organization has a contract with Wavelength, that will be finalized and signed during pre-onboarding.

As part of pre-onboarding, Wavelength will work with you to determine the best way to structure your Wavelength network. Wavelength will also identify what data it needs and finalize your list of admin users.

Once expectations, data requirements, timeline, and price have been set, Wavelength will send you your onboarding email.

Onboarding Email

Your onboarding email will link you to this guide. It will also include the secure Dropbox link for the data transfer step, a solicitation for your Organization’s Assets, and a draft Wavelength introduction email.

Your Organization’s Assets Include:

  • A large square hi-def photo to use across Wavelength
  • Preferred organization name
  • Preferred organization subdomain
  • “Other Ways to Give” Donation Text
  • “FAQ” for Donation
  • Primary Color*
  • Secondary Color*
  • Donation Default Amount
  • List of Board members / contact info
  • Group Social Links (FB, Linkedin, Twitter)
  • Your Website Link

*Wavelength uses Material UI branding to standardize its look and feel. Please select your primary and secondary colors from the top row of colors listed here.

Your subdomain will be the short name prefixed to https://searchwavelength.com that your alumni will visit. For instance if your organization was called Private High School and you went by PHS for short, a good subdomain would be PHS. In that case, your alumni would visit https://phs.searchwavelength.com to access their network.

Once you have received that email please send back the Organization Assets and follow the Data Transfer, and Bank Integration (if applicable) steps. Please review and make changes to the email you plan to send to your alumni. You can check out a sample introduction template here: Alumni Introduction email.

Once Wavelength has received your Organization Assets and edited alumni introduction email, we will send a bank integration link for the Bank Integration Step and an email verification link for the Email Integration Step.

Set Up: Data Transfer

The purpose of the data transfer step is to quickly and securely transfer your relevant data into Wavelength’s encrypted database.

For some select customers, Wavelength provides database integration. If that is the case, Wavelength will work with you to set up the integration and you can skip this step.

Wavelength will send you a link with an encrypted Dropbox folder to upload your data. During pre-onboarding, Wavelength will have identified which data fields are most important. When you receive that link, please download these data fields from your database and upload your CSV to the encrypted Dropbox link.

When you have uploaded your data, please email chris@searchwavelength.com. Wavelength will encrypt your data and upload it directly to Wavelength’s database. Wavelength will then delete the copy of your data in the secure Dropbox link.

Once your data is safely stored in Wavelength’s encrypted database, Wavelength will organize, clean, validate, and enrich your data. Wavelength will alert you to any duplicates or errors are found in your database.

The Data Transfer step takes 2-3 days.

Set Up: Bank Integration

Wavelength uses Stripe to process donations and deposit them directly into your bank account. Check out Receive Donations to learn more.

Please email chris@searchwavelength.com when you are finished. Wavelength will then test the integration. Bank Integration takes 5 minutes.

Set Up: Email Integration

Wavelength gives each network a custom email to send and receive group email. All messages from the custom Wavelength email will forward to an admin’s email of your choice.

Once Wavelength has received your Organization Assets, it will send you an email link to verify an admins account for forwarding. The admin needs to click the provided url, and click confirm email to set up. Please email chris@searchwavelength.com when you are finished.

Admin Testing

Wavelength will send an email indicating that we are ready to test your network. Wavelength will send account creation links to the admins identified in the pre-onboarding step. Admins will then test the platform, ask any questions, and give any feedback before user onboarding. Wavelength will provide a timeline to address the feedback.

User Onboarding

Once admins have tested and provided feedback to Wavelength, we will start onboarding users. The first step is to update your web presence with the appropriate Wavelength links.  Check out Promote on Social Media to learn how explain Wavelength on Facebook, Linkedin, and your website.

Once your internet presence has been updated, please send an email to chris@searchwavelength.com. Wavelength will confirm that they are ready to onboard and that you should send out your Wavelength introduction email. Please bcc chris@searchwavelength.com on that email. When Wavelength has confirmed your onboarding email, Wavelength will send account creation links to your users.

Some organizations prefer to trial onboarding with a subset of their alumni. If that is the case, the rollout timeline will be finalized in the pre-onboarding step.

You are all set! Get back to engaging with your community.
